Greentec is a Canadian ITAD company, headquartered in Cambridge, Ontario since 1995. US engagements are delivered through a managed network of certified partner facilities across the Northeast, Midwest, Southeast, South, and West Coast, operating under the same NAID AAA and R2v3-certified standards as the Canadian program.

Organizations with operations in both Canada and the United States can run a single consolidated ITAD program across both countries, with unified documentation at program close.

The US Compliance Landscape

What US Organizations Need to Understand Before Choosing an ITAD Provider

US data destruction and electronics recycling requirements are set at the state level, not the federal level. The result is an inconsistent patchwork that organizations operating across multiple states navigate differently. The four points below apply to most US organizations retiring IT equipment.

State Data Destruction Laws Create Organization-Specific Obligations

01

State Data Destruction Laws Create Organization-Specific Obligations

Unlike Canada's federal PIPEDA framework, the United States has no single federal data destruction mandate for private organizations outside regulated industries. Instead, more than 35 states have enacted data breach notification and data destruction requirements. California's CCPA, New York's SHIELD Act, and Texas's Identity Theft Enforcement and Protection Act each impose specific obligations on how organizations must handle end-of-life devices containing personal information. The documentation standard required to demonstrate compliance varies by state and by the nature of the data involved.

NAID AAA Is the US Standard Referenced in Federal and State Procurement

02

NAID AAA Is the US Standard Referenced in Federal and State Procurement

The National Association for Information Destruction's AAA certification is the dominant independent standard for data destruction in the United States. It is referenced in GSA procurement specifications, state government contracting requirements, and data destruction procurement guidance across regulated industries. NAID AAA requires certified procedures, security-vetted staff, chain-of-custody documentation, and scheduled and unannounced facility audits by NAID-authorized assessors. Greentec holds NAID AAA certification.

US E-Waste Regulation Is a State-by-State Patchwork. R2 Is the Voluntary Standard.

03

US E-Waste Regulation Is a State-by-State Patchwork. R2 Is the Voluntary Standard.

There is no federal electronics recycling law in the United States comparable to Canada's provincial EPR programs. Instead, more than 25 states have enacted individual e-waste laws with varying scope, fee structures, and compliance obligations. The voluntary standard that fills the gap is R2 (Responsible Recycling), administered by SERI. R2v3, the current version, is the internationally aligned evolution of that standard and is more rigorous than the earlier R2v2 specification. Greentec achieved R2v3 certification in 2022.

Cross-Border Operations Need One ITAD Provider, Not Two

04

Cross-Border Operations Need One ITAD Provider, Not Two

Organizations with facilities in both Canada and the United States often run separate ITAD programs in each country, producing inconsistent documentation, different chain-of-custody standards, and no unified view of what was destroyed or recycled. Consolidating both programs with a provider that operates in both countries, under a single set of certifications and a single documentation framework, eliminates those gaps and simplifies compliance reporting on both sides of the border.

Coverage Beyond Listed Markets

Greentec can coordinate ITAD programs in US markets beyond those listed above through its managed IT logistics partner network. Contact Greentec to confirm availability and standards documentation for your location.

NAID AAA and R2v3 Apply Across the Network

NAID AAA and R2v3 Apply Across the Network

NAID AAA and R2v3 — the two certifications most commonly required in US federal and state ITAD procurement — are held by Greentec and form the baseline requirement for every US partner facility in the network.

Certifications

The Certifications US Compliance and Procurement Programs Require

NAID AAA and R2v3 are the two certifications most commonly referenced in US federal and state government ITAD procurement requirements. All five certifications are maintained through independent third-party audits and available for US procurement documentation packages.

NAID AAA Certified

NAID AAA

Data Destruction. Administered by the US-based National Association for Information Destruction. Referenced in US federal and state procurement specifications. Requires certified procedures, vetted staff, and unannounced facility audits.

R2v3 Certified

R2v3

Responsible Recycling. The current international standard administered by SERI. More rigorous than R2v2, the previous US baseline. Greentec achieved R2v3 certification in 2022.

ISO 9001 Certified

ISO 9001

Quality Management. Independently audited management system governing consistent program delivery across all Greentec facilities and US partner locations.

ISO 14001 Certified

FAQ

US ITAD Questions

Are Greentec's certifications recognized in the United States?

Yes. NAID AAA, Greentec's data destruction certification, is administered by NAID, the US-based National Association for Information Destruction, and is the certification referenced in US federal and state government procurement requirements for data destruction. R2v3, Greentec's recycling certification, is administered by SERI and is the leading responsible electronics recycling standard in both the United States and Canada. ISO 9001, ISO 14001, and ISO 45001 are international standards recognized globally.

All US locations are listed as partner facilities. What does that mean for my engagement?

Greentec's US engagements are delivered through certified partner facilities rather than Greentec-owned locations. Partners are selected based on their ability to meet Greentec's chain-of-custody, data destruction, and documentation standards. Clients receive the same Certificates of Destruction, recycling reports, and program close packages as they would from a Canadian engagement. Greentec manages the partner coordination and remains the accountable party for the program.

What US data destruction obligations apply when retiring IT equipment?

There is no single federal data destruction mandate for private organizations in the United States outside of regulated industries. HIPAA requires healthcare organizations and their business associates to implement physical safeguards for PHI stored on electronic media, which extends to end-of-life devices. The FTC Safeguards Rule imposes disposal requirements on financial institutions. More than 35 states have enacted data destruction requirements as part of their breach notification frameworks. For most organizations, issuing NAID AAA-compliant Certificates of Destruction tied to specific asset serial numbers is the documentation standard that satisfies state law and procurement requirements.

Can Greentec manage a single ITAD program covering both Canadian and US facilities?

Yes. Multi-country programs are structured as a single engagement with one point of contact, consistent documentation standards, and chain-of-custody coverage from every pickup location through final certified disposition. The program close package consolidates Certificates of Destruction, recycling weights, and ESG data from Canadian and US locations into a single deliverable. Organizations avoid running parallel programs under different standards in each country.

What US compliance documentation does Greentec produce at program close?

Every US engagement through Greentec's partner network produces serialized Certificates of Destruction (one per device destroyed, tied to asset serial number and destruction method), a recycling and material recovery summary, chain-of-custody records from pickup through final processing, and a program summary suitable for compliance reporting, ESG disclosures, and procurement documentation. Certificate format is consistent with the documentation format recognized by US federal and state data destruction requirements.

Which US states does Greentec currently serve through its partner network?

Confirmed partner coverage is currently available in Massachusetts (Boston/Chelmsford), New York (Buffalo), Pennsylvania (Philadelphia, Pittsburgh), Illinois (Chicago/Peoria), Kansas (Kansas City), Tennessee (Nashville), Georgia (Atlanta/Alpharetta), Florida (Tampa, Miami, Fort Myers, Naples, Jacksonville, Orlando), Texas (Dallas, El Paso, Austin), Oregon (Tigard), California (Livermore), and Maryland (Bethesda). Contact Greentec directly to confirm partner availability for other US locations.
